Studio Rules & Things to Know.
Things Our Staff Does for You. To help ensure creatives save on time, the following services are provided by our staff as a part of your rental:
Pulling of Inventory Items. We will pull any studio items requested through our inventory system before your rental. To ensure availability as not all items are stored onsite, please be sure to submit these items at least one day prior to your rental.
Fabric, Poly Paper & Seamless Backdrops. Our staff will prep (prepare seamless paper, hang and steam fabric backdrops, and hang poly paper backdrops) up to two backdrop selections. If you plan to use more, please be sure to add some extra time in your rental to provide more time to reset and prep backdrops.
Clean up. Have a cake smash? Please know you can leave it! Our staff assists with the clean up after sessions, saving you time.
Things Our Staff Doesn’t Do. To help ensure the safety of staff and prevent too much interference from our staff during your rental, below are some of the things our staff is not available for:
Carrying in large pieces of furniture. (But, please know we are always there to help hold the door for you!)
Being a lighting or photography assistant during your rental.
Inventory System. Want something different from our curated sets? Our studio features over 600 items (props, backdrops, furniture, client closet items, etc.) that are available for use during your rental in addition to our curated sets. To help ensure easy access to items you would like to use, our staff will pull out items and pre-set backdrops to help cut down time needed for your setup. To let us know what items you would like to use, we have an online inventory system that provides the ability for you to easily select and submit the items you would like to use. This system will also let you know when items are unavailable or are in use for pre-designed sets already in the studio.
Pre-Designed Curated Sets. One of the unique features of our studio are the pre-designed curated sets, that provide scences that are always available for creatives to come in and capture without the setup. Designed to be multi-purpose in use for a variety of sessions, these sets are designed to provide photographers with content to build their portfolio and use in advertising sessions to client. With each season as sets are changed, we offer studio content days to provide time to work with sets, test lighting, offer a mini session, or capture more content to use in advertising. Our staff is fully available during studio content days to help assist in answering any questions you may have. Studio content days, with the exception of Christmas which is $50 + tax, are always $25 + tax. You can view current and upcoming sets on our website by clicking here.
Moving Items & Furniture Out of Sets. Our goal always is to ensure that every creative has the same experience when coming into the studio and a key part of this is to ensure sets look exactly as they expect them to be. Please keep in mind that while we have buffers in between rentals, quite often there is only a very small window of time available to clean, sanitize and straighten items, especially in cases where clients arrive early or take a little extra time when leaving. While we would love to allow for every item to be moved, we just aren’t able to as increasing these buffer times would directly impact studio rental rates. Please help us to ensure we can keep the studio space as affordable as possible by ensuring that items in sets stay in their place!
Dogs and Cats. We love dogs and cats! Pets are permitted in our studio, but to ensure the safety of all those on site, we require any pets to have an active rabies vaccination. We do not permit any dogs that have been deemed dangerous or have a history of biting that has caused injury to other pets or humans.
Studio Use. When renting, you will select a specific use for the space. If you are renting for a photo/video/content creation session, other uses, such as a catered event, are not permitted. Please contact us if you are looking for a specific use that is unavailable through our booking links.
Occupancy Limits. Rentals permit for an attendance of no more than 48 people, accommodating for 2 studio staff for a max of 50 persons.
Studio Representative. A front desk receptionist will always be present during your rental to help move large pieces of furniture and answer any questions you may have. Please note, our receptionist is not a photography assistant, so please know they will not participate in helping with lighting/holding objects, etc., during your rental once your model/client arrives.
Serving of Alcohol is Not Permitted Without a NC Alcohol Permit. Under North Carolina law, an approved alcohol permit is required for any establishment that serves alcohol. Under no circumstances is alcohol permitted to be served on the premises without a North Carolina event alcohol permit.
Boudoir Sessions. Boudoir sessions are permitted with the use of blackout panels on the front windows. If you are renting for the purpose of boudoir, we require an advance notice of at least four hours prior to your session to ensure we have these panels installed prior to your arrival. For boudoir sessions containing full nudity, we require a COI. For boudoir sessions in lingerie, a COI is not required. Rentals involving techniques that have a potential for harm, such as Shibari, or boudoir sessions (both in lingerie or full nudity) taking place outside the studio are not permitted.
Newborn Session. We require a COI for all sessions involving newborns under 3 months of age involving staging or positioning by the photographer. (This excludes lifestyle newborn sessions.)
Certificate of Insurance (COI). If a Certificate of Insurance (COI) is required, we require a COI with a minimum of $1 million in liability with Von Creative LLC, 137 Koonce Fork Rd, Suite F&G, Richlands, NC listed as an additional insured. The COI must be submitted within one business day of your session and can be sent to info@voncreativeco.com. Failure to provide a COI will result in the cancelation of your session, of which no refund will be given.
Cleaning Fee for the Use of Glitter and Confetti. While we love glitter and confetti, it requires a lot of clean up. In cases where you’ll be using confetti or glitter, please schedule additional time in your rental for cleanup. An excess cleaning fee of $50+tax will apply for confetti or glitter left behind for the studio staff to clean.
Cake Smashes. We require the use of a PVC floor mat (provided by the studio) for cake smashes to ensure a clean and sanitized area for kids and to help prevent excessive cleaning or damage to the white floors. Please be sure to notify us when making your booking or by selecting a PVC when placing an order through our inventory system at least 4 hours before your rental. If a PVC covering is not used, as it will require for the floor to be throughly cleaned and repainted, an excess cleaning fee of $50 + tax will apply.
Moving Couches & Structural Items. For the safety of our creatives and staff, all large items that require two people to move will need to be submitted through our inventory system at least one day prior to your rental. This ensures that we have the staff available to move and provide assistance to prevent injuries or damage.
Cyc Wall. The cyc wall is the most used area of our studio. As time to repair and repaint this area is limited between rentals, we ask all renters to treat this area as if it was your own. Here are some things to keep in mind when using the cyc wall:
We have a wide curve. It’s one of the things that makes captures here look so beautiful, but stepping on the curve will damage the seams and require mudding, patching, and repainting of the wall. Please do not allow your clients to step on or jump on the curve of the wall. If patching is required due to the negligence of a renter to not correct their clients, a $100 + tax repair fee will apply. Patching is defined as a circumstance where a chunk of mudding comes out of a seam which will happen after repeated jumps or steps on the curve. For negligence, we understand that steps on the curve will happen during your rental. Negligence only applies when we can audibly hear jumping repeatedly without correction from a renter. It is your responsibility to correct your clients, not the studio. Need something to distract away little ones from jumping on the curve? Let our staff know! We always have bubbles, coloring books, and toys available!
We are a shared space and the majority of our studio is painted white with a specialized mixture designed specifically for photography. While these surfaces are perfect for relecting and dispersing light, they are textured and easily attract dirt. To ensure the studio is as clean as possible not only for you but the renters after, located at our entrances are sticky mats to make it easy for you and your clients to clean off their shoes before stepping on white surfaces.
How to use sticky mats. Please know, you don’t need to put your full weight on the mats! Just a few light steps will do the trick.
Glitter and confetti are so fun, but very difficult to clean off the wall, so while we don’t permit these uses on the wall, we do have white seamless paper that is available. Just let us know before your rental and we will make sure it is ready for you when you get here. (We do provide glitter and confetti for our members.)
Furniture. Need to move furniture? Please don’t drag it on the wall. If you need help, there is a call button conveniently located beside the cyc wall to make it easy to alert us if you need assistance.
Nails & Thumbtacks. We have stands and other ways of hanging fixtures for your image backgrounds, so please contact us ahead of time or let us know on the day, if you need assistance.
Violence is Never Tolerated. We will not tolerate violence or bullying of any kind, and we reserve the right to remove participating actors from our premises. Please report any negative behavior to our on-site representative as soon as it occurs.
Smoke Bombs, Open Flames, Fire Crackers. Under no circumstances are activities permitted that have the potential for creating a dangerous atmosphere or may lead to the potential risk of fire. Open flames, firecrackers, smoke bombs, etc. are not permitted in our studio or any substance/aerosol that omits an unpleasant odor or hazardous fumes.
Booking. Availability is displayed online in real-time, allowing for quick and easy booking/rescheduling, even late at night.
Rescheduling/Cancellation. We understand that flexibility is key.
Rental Fees Paid. To provide consideration for the time pulled from our calendar, rental fees paid will not be refunded, regardless of circumstance, but we do allow for flexible rescheduling or cancellation with issuance of a gift card when advance notice is provided.
Options. If you need to reschedule or cancel, you have the option to:
Reschedule. To reschedule, you can use the rescheduling link at the bottom of your confirmation or reminder email.
Cancel & Have a Gift Card Issued. To cancel and have a gift card issued, simply respond to your email confirmation/reminder.
These options are available as long as you are within the timeframes available for changes below.
Timeframe Available for Changes. The timeframe available for changes (rescheduling or cancelling with issuance of a gift card) varies based on the amount of time that has been blocked out of our calendar to hold your date and time.
30-Minute, 1 Hour & 2 Hour Rentals. Can be rescheduled/canceled with issuance of gift card up to 2 hours in advance.
3-Hour & 4-Hour Rentals. Can be rescheduled/canceled with issuance of gift card up to one day in advance.
5-Hour & 6-Hour Rentals. Can be rescheduled/canceled with issuance of gift card up to two days in advance.
7-Hour & 8-Hour Rentals. Can be rescheduled/canceled with issuance of gift carde up to one week in advance.
Event & Bridal Suite Rentals. Please refer to your contract details for exact rescheduling/cancellation options.
Timeframe When Rentals are Locked in Place. As there is very little chance of reopening dates for booking once the timeframes below have been reached, rentals are ineligible for changes to date or time at the timeframes listed below. This means that the rental timeslot will remain reserved and available for you to use, and no gift card will be issued even if you do not use the space.
30-Minute, 1 Hour & 2 Hour Rentals. 2 hours before your rental start time.
3-Hour & 4-Hour Rentals. 24 hours before your rental start time.
5-Hour & 6-Hour Rentals. 48 hours before your rental start time.
7-Hour & 8-Hour Rentals. One week before your rental start time.
Event & Bridal Suite Rentals. Please refer to your contract details for exact rescheduling/cancellation options.
Buffers. All bookings at our studio include a 15-minute buffer before and after each rental for a combined total of 30-minutes for our staff to straighten, tidy, and sanitize between rentals.
This buffer is for our staff to ensure time is available to clean, sanitize, and tidy before the next rental and provide time to hang backdrops and pull items requested for the next rental.
This buffer is not provided to give you extra time to extend your session. Please be respectful of the renter coming in after you and ensure your session has completed by the end of your rental time.
We are super understanding that it can be so easy to lose track of time! When our staff enters the studio space where you are to start tidying and setting up, please know this is a sign of urgency that you are beyond your rental time and that we have a renter coming in after you. We never, ever want to make you or your client feel uncomfortable by telling you directly that you need to leave, so please know this is our subtle way of saying that you need to wrap up your session as soon as possible!
Photography Branding & Logos. Branding of another photographer is never permitted within the open area of the primary studio space after a rental is completed. We are a co-working space designed to make every creative feel welcomed, encouraged, and respected. With this in mind, with the exception of promotional material for upcoming events/workshops and awards hung by our members in the studio’s breakroom used only by our members and our staff, no advertorial content (i.e., business cards, logoed material, etc.) featuring a photographer's branding is permitted to be left behind in our space after your rental.
